Who This Policy Covers
This Privacy Policy explains how PUPS Inspections handles information when healthcare organizations, their workforce members, and invited users use our inspection, audit, work order, compliance obligation, and notification tools.
PUPS Inspections is designed for organizational use. Your organization controls the inspection templates, teams, submissions, work orders, user assignments, and other content it creates in the service.
Information We Collect
We collect information needed to provide and secure the service, including account profile details, sign-in credentials or authentication records, role and team membership, organization settings, and communication preferences.
When users work in PUPS Inspections, we collect operational content such as audits, inspection sections and questions, answers, comments, photos, signatures, files, work order requests, messages, obligation status, timestamps, and related activity history.
We also collect technical and security information such as IP address, device and browser details, session activity, error logs, rate-limit events, and records of account, password, email, and notification changes.
How We Use Information
We use information to operate PUPS Inspections, authenticate users, route users to the correct organization workspace, save inspection and work order activity, generate reports, support exports, troubleshoot issues, and protect the service from abuse.
We send account and security emails when needed for sign-in, password resets, invitations, email changes, account status, and other service-critical events. Users may also choose optional product notifications where the product offers those preferences.
If SMS notifications are enabled and a user affirmatively opts in, we use the phone number and consent record to send text messages related to the selected PUPS Inspections notification program.
Healthcare and Inspection Data
PUPS Inspections supports healthcare compliance workflows, but it is not an emergency service, electronic health record, or substitute for your organization's legal, clinical, or compliance obligations.
Users should avoid adding unnecessary patient, resident, or other highly sensitive personal information to inspection answers, comments, photos, work orders, or attachments. Your organization is responsible for deciding what information is appropriate to enter and for meeting any laws or contractual duties that apply to that information.
Text Messages
Text messaging is optional. When available, users must opt in before receiving PUPS Inspections SMS notifications. Message and data rates may apply.
Message frequency varies based on the user's organization activity, assignments, and notification rules.
Reply STOP to opt out of text messages from the number that contacted you. Reply HELP for help. Carriers are not liable for delayed or undelivered messages.
PUPS Inspections does not share, sell, rent, or transfer mobile numbers, SMS opt-in data, or SMS consent with third parties, affiliates, or lead generators for marketing or promotional purposes.
An SMS opt-out may stop product text notifications, but we may still send account and security notices by email or through the product where needed to operate and protect the service.
How We Share Information
We share organization content with the users, managers, owners, and administrators authorized by that organization and according to the roles and teams configured in the service.
We use service providers to host the application, store files, send email and text messages, process payments where applicable, monitor reliability, prevent abuse, and support customer operations. These providers may process information only as needed to provide their services to us.
We may disclose information if required by law, to protect rights and safety, to investigate misuse, or as part of a merger, acquisition, financing, or transfer of all or part of the business. We do not sell inspection submissions, work order content, photos, signatures, or account contact details for advertising.
Retention and Security
We keep information for as long as needed to provide PUPS Inspections, comply with legal and accounting obligations, resolve disputes, maintain security logs, and follow the instructions or configuration of the organization that controls the workspace.
We use administrative, technical, and organizational safeguards designed for the nature of the information we handle, including role-based access controls, tenant scoping, secure transmission, audit-oriented activity records, and restricted administrative access.
No system can guarantee absolute security. If you believe an account or workspace has been accessed without authorization, contact us promptly.
Your Choices
Users can update available account details and notification preferences in PUPS Inspections. Organization owners and administrators may manage users, teams, assignments, and workspace content according to their role.
You can opt out of optional product emails through the available preference controls or instructions in the message. You can opt out of SMS notifications by replying STOP where SMS is available.
Requests to access, correct, export, or delete organization-controlled inspection or work order content may need to be directed to the organization that administers your workspace.
Third-Party Services
Some parts of PUPS Inspections rely on third-party services, including hosting, file storage, email delivery, text messaging, payments, analytics or diagnostics, and Google reCAPTCHA on protected forms. Their services may process information according to their own terms and privacy notices.

Updates and Contact
We may update this Privacy Policy as PUPS Inspections changes or as operational, legal, or security needs evolve. The effective date above shows when this version took effect.
