Terms of Service

These terms describe the responsibilities that apply when organizations and users rely on PUPS Inspections for audits, submissions, work orders, compliance tracking, and notifications.

Agreement to These Terms

These Terms of Service govern access to and use of PUPS Inspections. By creating an account, accepting an invitation, or using the service on behalf of an organization, you agree to these terms and represent that you are authorized to use PUPS Inspections for that organization.

If your organization has a separate written agreement with us, that agreement controls if it conflicts with these online terms.

The Service

PUPS Inspections provides tools for healthcare organizations to create inspection templates, assign audits to teams, collect submissions, manage work orders, track compliance obligations, upload evidence, generate reports, and send service notifications.

PUPS Inspections supports operational compliance workflows. It does not provide legal, medical, clinical, billing, or regulatory advice, and it does not replace your organization's professional judgment or compliance program.

Accounts and Organization Responsibilities

Organizations are responsible for deciding who may access their workspace, assigning appropriate roles and teams, removing users who no longer need access, and keeping account information accurate.

Users are responsible for safeguarding credentials, using only their own account, and promptly reporting suspected unauthorized access. Organization owners and administrators are responsible for reviewing submissions, work orders, exports, and reports before relying on them.

Your organization is responsible for determining whether its use of PUPS Inspections is subject to HIPAA, state health privacy laws, employment laws, record retention rules, procurement rules, or other legal requirements. If your use requires a business associate agreement or other written terms, those terms must be in place before regulated data is uploaded.

Customer Content

Your organization owns the audits, questions, answers, comments, photos, files, signatures, work orders, messages, reports, and other content it submits to PUPS Inspections.

You grant us permission to host, process, transmit, display, back up, and otherwise use customer content as needed to provide, secure, support, and improve PUPS Inspections.

You are responsible for the accuracy, legality, and appropriateness of customer content. Do not upload unnecessary patient, resident, employee, or other sensitive personal information unless your organization has approved that use and satisfied its legal obligations.

Acceptable Use

You may not misuse PUPS Inspections or help anyone else misuse it.

  • Do not use the service for unlawful, deceptive, harassing, abusive, or discriminatory activity.
  • Do not attempt to bypass authentication, authorization, tenant isolation, rate limits, security controls, or usage limits.
  • Do not upload malware, exploit code, illegal content, or content that violates another person's rights.
  • Do not use notifications, email, SMS, public forms, or work order tools to send spam or messages without appropriate consent.
  • Do not interfere with the reliability, integrity, or performance of the service.

Notifications

PUPS Inspections may send account and security emails for sign-in, password resets, invitations, email changes, account status, and similar service-critical events. These notices are part of operating the service.

Where optional product notifications are available, users can manage eligible preferences in the product. Some notifications may be controlled by organization settings or administrator choices.

Where SMS is available, users must opt in before receiving PUPS Inspections text messages. Message and data rates may apply. Reply STOP to opt out and HELP for help. Carriers are not liable for delayed or undelivered messages. PUPS Inspections SMS is not for emergencies or urgent clinical communication.

Third-Party Services

PUPS Inspections may integrate with or rely on third-party services for hosting, storage, email, SMS, payment processing, analytics or diagnostics, identity, security, and Google reCAPTCHA. Those services may be governed by their own terms and policies.

Subscriptions and Payment

If your organization purchases a paid subscription, the applicable order, checkout, invoice, or written agreement will describe pricing, billing interval, taxes, renewal, cancellation, and payment terms.

Your organization is responsible for keeping billing and administrative contact information current. We may suspend or limit access for unpaid amounts, payment failures, abuse, security risk, or legal requirements.

Availability and Changes

We may modify, improve, suspend, or discontinue features of PUPS Inspections. We aim to maintain reliable service, but we do not guarantee uninterrupted or error-free availability.

We may update these Terms as the service, business, or legal requirements change. The effective date above shows when this version took effect. Continued use after an update means the updated Terms apply.

Disclaimers and Liability

PUPS Inspections is provided on an as-is and as-available basis to the extent allowed by law. We disclaim warranties not expressly stated in a separate written agreement.

To the extent allowed by law, we are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, or business interruption arising from use of the service.

Termination

You may stop using PUPS Inspections at any time. Organization owners or administrators may remove users from a workspace. We may suspend or terminate access if we believe these Terms have been violated, continued access creates risk, or suspension is required by law.

After termination, we may retain or delete information according to the Privacy Policy, applicable written agreements, legal requirements, and our operational retention practices.
